Moderators can enable and use the Open Enrollment feature at the project level, allowing participants to self-enroll in any available open sessions within a project, with minimal need for Personally Identifiable Information (PII).
Accessing Open Enrollment for Participants
First, open your Discussions Project. Log in to Forsta Plus Authoring. Open SmartHub and select the Hub where your Discussions project is located. Select Discussions from the left side menu. Then, select the Discussions project you wish to open (see Project Dashboard).
On the Project Dashboard page, under Project information, select the Open Enrollment for Participants toggle. Turn on this toggle to make all open sessions within the project available for participants to self-enroll.
After enabling the feature, a Copy Link button will display. Click Copy Link to copy the Open Enrollment URL to your clipboard.
Share the copied link with your participants. You can distribute this link via email, messaging apps, or any other communication channel.
When participants click on the link, they will be asked to enter their Display Name and Email Address.
After entering this information, participants will see a list of all available open sessions within the project and can select the session they want to join.
Participants will see a screen confirming their enrollment.
If the session is upcoming, they will receive an email with details. If the session is currently occurring, the participant will enter the waiting room for the session.
